Guides

The words you'll hear, explained.

What a face-to-face visit is

An in-person visit with your doctor or another treating practitioner, where they examine you and write down why you need the item and how it will help at home. Some items, such as power wheelchairs, need this visit within a set time before the order.

What a written order needs

A standard written order lists: the patient's name or Medicare number, the order date, a description of the item, the quantity, the practitioner's name or NPI, and the practitioner's signature. Missing a signature or NPI is the most common reason an order comes back.

What prior authorization means

Approval from your insurance plan before the item is delivered. Many power wheelchairs and many Medicaid items need it. We send the request and tell you when we hear back.

How complex rehab works

Custom wheelchairs go through six steps: referral, evaluation, documentation and insurance, order and build, fitting and delivery, then repairs and adjustments. It takes longer because every part is chosen and justified.

How complex rehab works

From referral to the road, step by step.

  1. Referral

Your doctor, therapist or case manager sends the order, or you call us.

  2. Evaluation

A therapist and our ATP assess your body, your routine and your home.

  3. Documentation & insurance

We gather the records and request approval from your plan.

  4. Order & build

Every part is ordered, then checked against the order when it arrives.

  5. Fitting & delivery

We fit the chair to you and show you how everything works.

  6. Repairs & adjustments

We keep it working and adjust it as your needs change.

Medicare & Medicaid in plain words

Who pays, and how it usually works.

General information, not a coverage decision. Your plan and your records decide; we check yours.

Original MedicareMedicare Part B covers equipment your doctor orders for use at home when the plan's rules are met. It usually pays 80% of the approved amount after the yearly Part B deductible; you or a secondary plan pay the rest. Many items are rented month to month.
Medicare AdvantagePrivate plans approved by Medicare. They cover at least what Original Medicare does, but often have their own approval steps and supplier lists. We check yours.
Florida MedicaidCovers medically necessary equipment under its own rules, and many items need approval in advance. Children under 21 often have broader benefits.
Medicaid health plansMost Florida Medicaid members get their benefits through a health plan (for example Sunshine Health, Simply or Molina). The plan sets the approval steps.
Both Medicare and MedicaidMedicare usually pays first, and Medicaid may help with what's left. We bill them in the right order.
Employer and private plansRules, deductibles and approvals vary by plan. Call with your card and we'll check.

Questions people ask us

Straight answers.

Don't see yours? Call and ask. A person on our team answers.

Call (561) 245-5444
Does Medicare cover a power wheelchair?

It can, when your doctor documents that you can't safely get around your home with a cane, walker or manual wheelchair, and that you can safely use a power chair. Medicare requires an in-person exam with your doctor and a written order before delivery, and most power chairs need approval in advance. We check your records against the rule and tell you what's missing. See the power wheelchair checklist →

What do I need from my doctor?

Usually a recent visit where your doctor writes down why you need the item, and a signed order. Some items also need a test: an oxygen-level test for oxygen, or a sleep study for CPAP. We request what's needed from your doctor's office, so you don't have to chase it. Check what your item needs →

How long does it take?

It depends on the item and your insurance. Everyday items can move quickly once we have the doctor's order and notes. Custom wheelchairs take the longest, because every part is documented and many plans approve them in advance. We tell you what we're waiting on at each step. See how a request moves →

Do you repair chairs you didn't sell?

Usually, yes. Tell us the brand and model when you call. Whether insurance helps pay depends on your plan and who owns the equipment, and we tell you before any work starts. How repairs work →

Do you deliver?

Yes. We deliver and set up equipment at home and show you and your family how to use it. Call us to confirm we serve your area. Delivery and set-up →

What if I'm on Medicaid?

We work with Florida Medicaid and Medicaid health plans. Medicaid has its own rules: for example, a wheeled walker must have a seat and wheel locks, and it is usually covered only when it's prescribed instead of a wheelchair. Many items need approval in advance, and we handle that request. Check a Medicaid item →

Will I have to pay anything?

Sometimes there's a copay, deductible or coinsurance, or a difference if you choose an upgrade. We tell you any cost before anything is ordered.

Can my doctor's office send the order directly?

Yes. Regular equipment: fax (561) 245-5443. Complex rehab: fax (561) 861-7763. Offices can run our referral pre-check first to see what's missing before they send it. Open the referral pre-check →

I'm leaving the hospital soon. What should I do?

Ask your case manager or discharge planner to fax the order and recent notes to (561) 245-5443 (complex rehab: (561) 861-7763), then call us with your discharge date. We work with them to line up delivery with your homecoming whenever we can. Coming home from the hospital →

Can I check my order status online?

Not yet. Today, call us and a person on our team will tell you what's done, what's still needed and what happens next. Online tracking is coming with our secure portal; texts and emails will only say there's an update and ask you to sign in, never your health details. See a sample →

Do you have equipment for children?

Yes. We provide pediatric wheelchairs, seating and positioning, and bath and positioning aids, working with your child's therapist and doctor. Pediatric equipment →
